SAS Meeting Minutes for May 10, 2005

Thank you, David, for doing the minutes.

Distribution is hiring teenagers at $8.25/hr to hand out flyers on the days
of the show. Anyone whose kids might be interested should contact Ailene
Coffino.

Setup committee is to meet at Annna Conti's house, 1426 41st Ave., at 9 am
Friday June 3 to load the truck and will then set up the partitions at the
HOF from 10 am til noon. All setup members must do this. Contact Leigh
Radtke to confirm.

Everyone who did not come to the meeting should contact David Steinhardt at
566-9245 and arrange to pick up your 150 cards. It is crucial to the success
of the show that everyone hand out all their cards.

The Inner Sunset Merchants Association is giving us 600 8 1/2" by 11" color
flyers to put up, hand out, or otherwise distribute. These will be available
through David Steinhardt on or about May 18.

Ebisu restaurant is likely to rent the courtyard for cooked food.

Sponsorship forms are available for anyone who wants to solicit sponsors for
the sponsors table. email david@dsart.biz to get a form.

All participants are encouraged to have a piece in the silent auction, with
proceeds to benefit the De Young education programs.. A sign will be placed
in each booth with directions and bid lines for anyone who chooses to
participate, along with your namecard. Artists may choose to donate 50%,
75%, or 100% of the bid price. Each artist will collect the money and write
a check to the De Young.

Artists who have not signed up for a time slot on Friday to install their
display should contact Steve Dehlinger, steve@artcycles.com.

Everyone who does not have a resale certificate must get a temporary
seller's permit for the show. Instructions can be found on the website,

This meeting is focused on the HOF show, June 4 and 5. All participants in the show should plan to attend this meeting!!!!!! The post cards will be ready for pick up. If you are in the show and cannot come to the meeting, please send someone to come and pick up your post cards.

UPDATE on Committee Work:

Amanda Janes, owner of the Corner Cup will provide coffee and refreshment service as in the past two shows.

***Appearance:
Kelcie Tinker is chair. All artists are to make an effort to arrange their spaces in an attractive manner. Some ideas include tablecloths, flowers, plants, candy/nut dishes, clever displays, extra lighting (if outlets are available). The Appearance Committee will provide name badges for each artist and bring plants to decorate the hall.

***Distribution:
Aileen Cofino is chair. Meeting next Monday. There are plenty of post cards so the success of distribution depends on every participant sending post cards to everyone they know and also spreading cards around local businesses for advertising.

***Entertainment
Voula Sideris has some high school groups lined up.

***Graphics
Post cards are finished!!! There are plenty to go around.

***Information
Ann Eby is chair. Table will be set up near the entrance. More people may need to sign up for a shift on the information table for Saturday or Sunday.

***Publicity
Anna Conti is chair. Those who worked on the publicity committee have done a great job. They have really involved the Inner Sunset Merchant Association (ISMA). Craig Dawson of Media Solutions will be printing 1000 fliers; he will distribute about 400 to the ISMA and about 600 will be available to SAS. Many of the ideas will benefit SAS in the future (possibly 2 years out), like an ISMA art walk or street fair. Anna is currently working with the Canvas Café to show a preview of our HOF exhibit. The idea of an ISMA merchant providing food service in the courtyard during the HOF show is pending…it will cost an extra $200 for the courtyard space.

***Signage and Auction
David Steinhardt is chairing. David will provide the banner and name signs for each booth. The auction plan will be announced.

***Site
Steve Dehlinger will provide a plan for the site.

***Set up and Breakdown
Leigh Radtke is chairing both committees and will rent a truck. Set up will be on Friday. Remember that breakdown includes going back to Anna Conti’s house to unload the panels.

If anyone has corrections or additions, please let me know. I will not be at the meeting on May 10th because I am going out of town beginning Monday morning, returning late Wednesday.

SAS Meeting Minutes for March 8, 2005

NEXT MEETING: TUESDAY APRIL 12TH AT WEST SUNSET

No committee reports. ALL COMMITTEES SHOULD MEET BEFORE THE NEXT MEETING AND BE PREPARED TO REPORT.

Right now there are 39 artists and 40 booths.

Deadline to pay the rest of your HOF fee ($65) is April 1st.. make checks payable to Gary Peden

Total HOF Fee is $125

David will prepare a budget for the next SAS meeting.

More discussion is needed on the silent auction, but the buyer will pay the artist and the artist will pay the charity.

Entertainment Committee: Voula Sideris is the only one on the Entertainment committee and she knows that but it should be mentioned that if anyone has any entertainment ideas that they should talk to Voula.

Graphics: If interested send a 300 dpi jpeg of your artwork to David. The graphics committee will choose what gets on the card. Please send the image to david@dsart.biz

SAS Meeting Minutes for February 7, 2005

1. Minutes from last meeting were read. Some members wanted more information about the Benny Shaboy presentation in January. Since it's likely the storm kept some people away, Benny has decided to extend the
special meeting price for his book, The Art Opportunities Book, to all SAS members. Instead of the normal retail price of $17.95, it will be only $15, but people must note that they are SAS members. (S&H is $2.95 and tax is $1.15, for a total price of $19.10. Add another $1 for priority shipping instead of book rate.) Send order to:

2. Meeting day has been changed to second Tuesday of each month. The location for the March 8th meeting will be at West Sunset, at 7 p.m.
3. Hall of Flowers (HOF) show: about 29 signed up so far. Deadline of February 14 to register. If not enough by next meeting, the show will have to be cancelled.
4. HOF graphics committee report: David presented a model of the postcard in two sizes, 6? by 9? and 5? by 7?. After some discussion it was decided that we will order the 5 by 7 size so that we have more for distribution. If you want an image considered for the card, submit images for the card by February 21 according to the following specs:
a) work completed within the previous two years
b) either a 35mm slide, a transparency of any size, or a 300dpi photoshop, or jpeg at 3" largest dimension sent to david@dsart.biz. Failing all that a photo print will do, but bear in mind that my scans of slides and especially of photos will be of limited quality.
c) Title, name of artist, etc
5. We decided mass mailing lists to be of limited value, so we decided to print 10,000 postcards and distribution and publicity will focus on:
a. each artist sending to all the people they know
b. local handouts in the neighborhoods near the Hall of Flowers
c. sunsetartists.com website will have a page advertising art shows (can also be used for members open studios)
6. David distributed a pricing method for artworks that described a time and cost approach. Artspan has SBA workshops, so if you are looking for 1/2 day workshops on business planning, marketing, etc,. please visit http://app1.sba.gov/calendar/states/calendar.cfm?op=group&grp=13. The Small Business Administration is a collaborator to the Make Your Art Your Business workshop series.

Reading of the minutes.

1) Decide when and where we will hold monthly meetings in the future
2) Encourage signups for the HOF show. We currently have 22 people signed up, less than half of what we need.
3) Brief report by graphics committee. We will be designing a card with 4-7 images of different media, e.g. photography, mixed media, sculpture, painting, etc. Please submit images for the card by February 21 according to the following specs:
a) work completed within the previous two years
b) either a 35mm slide, a transparency of any size, or a 300dpi photoshop, or jpeg at 3" largest dimension sent to david@dsart.biz. Failing all that a photo print will do, but bear in mind that my scans of slides and especially of photos will be of limited quality.
c) Title, name of artist, etc.
4) Discuss # of postcards. Graphics committee and the steering committee feel that money spent on mass mailings is better spent elsewhere, and that distribution of cards is of dubious value. We would like to expand the card from 5" x 7" to 6"x 9" and print about 5000.
5) Discuss ways we can increase attendance through personal contacts to replace than impersonal ones.
6) Discuss pricing methods. David will bring a printed handout of one possible method of establishing prices. Other artists are encouraged to bring any pricing systems they find useful.

Announcement: David Steinhardt will be giving a 90 minute lecture and demonstration on painting techniques at the Parkside library, Taraval @ 22nd Ave. from 7pm-8:30 on Wed. February 23

Minutes from last meeting were read.

1) 1) Sunset Park and Rec locations will be closed on Mondays, so SAS will have to meet either on another day or another place.
2) 2) THE NEXT MEETING WILL BE ON THE FIRST MONDAY IN FEBRUARY?FEBRUARY 7TH , AND WILL BE AT ANNA CONTI?S HOUSE, 1426 41ST AVENUE.
3) 3) Judi Gorski volunteered to be on the Steering Committee
4) 4) Pam Heyda is looking for someone to host the February 12th Critique and Potluck
5) 5) HOF 2005 forms were collected by David Steinhardt. Anyone who wants to apply should have done so by now.
SAS Steering Committee Report

1) The silent auction beneficiary will be either de Young Center or Sunset Youth Services. The donation amount should be 50% of the auctioned price.
2) Since nearly all of our attendance came from artists? personal mailings and from passers-by, publicity and distribution should focus intensively on the neighborhood this year, rather than trying to get citywide exposure. We will also not spend $800 + for the mailing list postage and cards. We will hire people to pass our flyers at 9th and Irving on the show dates, and investigate other possible local advertising.
3) Steve believes we can do an effective catalog this year through the online store Caffe Presse. He will report at the February meeting.
4) Setup will rent a bobtail truck so that all the panels can be loaded and transported in a single trip. There will be plenty of extra room, so if any sculptors or people with large works want to preload onto the truck, be in touch.
5) Loading and unloading the panels from Anna Conti?s house is difficult because her garage door is broken. We will ask her to get repair estimates and will consider paying for those repairs up to $200.

Guest Speaker: Benny Shaboy presented "Finding and Winning Art Opportunities" and had a book sale (at a special $15) and signed the books.
His presentation covered:

1) How to Determine Which Opportunities Are Right for You
2) Finding the Opportunities That Are Right for You
3) How to Spot the Scams
4) The Great No-insurance Fraud
5) Methods of Increasing Your Chances
6) Avoiding the Six Mistakes That Will Get You Rejected
7) How to Turn Showing into Sales, and Grants You Can Get.

Each meeting will start with the reading of last months SAS minutes. Minutes will be read by the SAS secretary.

The format of the SAS meeting will be changed to include a guest speaker or topic, effective Jan 10th SAS meeting.

Call for Committee Members:
SAS Open Studios: There needs to be a SAS Open Studios committee formed. Early registration for Art Span Open Studios is March 2005. If you are interested in group advertising for open studios, group sites, shared open studio sites then be on this committee!!! If you are interested in the SAS Open Studios committee please reply ASAP!!!

The SAS STEERING Committee needs another member. There should be at least 6 people on the steering committee, any volunteers?
Some Steering Committee Duties are:
To find guest speakers for the SAS meetings.
To approve new SAS members and review submitted art work.
To review and approve NEW HOF submitted art work.
HOF 2005, to locate the charity for the HOF 2005 Silent auction.
HOF 2005 committees chairs will report to the Steering Committee.

Hall Of Flowers 2005 is the 1st weekend in June. Jun 4th and 5th.
HOF 2005 Committees need to get started!!!! If you participated in the HOF 2004 then you will get first dibs on booth space this year. Please print and fill out the Application and bring to the next SAS meeting, Jan 10th Committee choices are listed on the Application. You can find the HOF 2005 application at http://www.sunsetartists.com/hof_2005.htm If you can not bring the application to the next SAS Jan 10th meeting than mail it to either Gary Peden (address below) or David Steinhardt. David Steinhardt 2230 22nd Avenue San Francisco, CA 94116. Please do so in time for the Jan 10th meeting!! HOF 2005 committees need to be formed and committee chairs chosen!!! Also your secretary needs to x-ref/update all contact information so PLEASE DO THIS FOR ME! And thanks to those who already have!!
BTW if you participated in HOF 2004 you do NOT need to submit a slide/picture/web address of your art work with the application (but you DO need to fill out an application). This requirement ONLY applies to NEW SAS MEMBERS AND NEW HOF PARTICIPANTS!!!!
HOF2005 Payment Deadline Feb 14th (After Feb 14th all new SAS members can sign up!) The deadline TO PAY if you participated last year (2004) and want to participate again is Feb 14th. You can mail the $60 deposit to our treasurer.

DeYoung Group Exhibit, Dolores is working on SAS at the DeYoung. SAS group show theme: The influence of the DeYoung on you as an artist. If you are interested in participating in this please send a short statement about what you would do for this show and a sketch or photo to Dolores. For example, Dolores took a series of photographs of the new DeYoung during the building process. She will then do a series of drawings and paintings of the DeYoung as it is being built. If you have an idea write it down and send to Dolores at the Holiday party for SAS Members address above. With this she will write a proposal. Sunset Artist Monthy Critique and Potluck The forth was a great success, fun and good food was had by all!!!!
* 2nd Saturday of every month 7-9PM
* dates - January 8th, and February 12th.
*What to Bring? 1-3 works or art, food to share (anything you wish, in true potluck style we'll just be surprised by what everyone brings) and an open mind! (Keep in mind that some of us are vegetarians.)

NEXT SAS MEETING JANUARY 10, Benny Shaboy is the Guest speaker!

Benny Shaboy is willing to come speak to SAS at the Jan. 10 meeting.
He will give a talk based on the following, which is a promo lecture for his book.
Who is Benny Shaboy? He has been doing art marketing seminars for many years in the bay area.
A few years ago we sent Tina Vietmeier and Adele Shaw to one of his publicity seminars, and they improved our publicity considerably. Kathy Dybeck has also found his seminar useful. It is important to let the membership know that the January meeting will be mostly devoted to his talk.
